Privacy and Cookies Policy

This policy explains how Shaun Richardson (autónomo), trading as SolvStream ("we", "us"), collects and uses personal data.

2. What data we collect
Depending on how you use the website, we may collect:
Contact data: name, email address, phone number (if provided), message contents.
Business context data you choose to share: for example, your role, website, or brief project details.
Files you choose to upload, for example with a project intake.
Technical and usage data: IP address, device and browser information, pages visited, approximate location derived from IP. This comes from our hosting provider's analytics, which sets no cookie and stores no identifier on your device (see the Cookies section below).
If you purchase services, billing and payment processing is handled by Stripe. SolvStream does not store your payment card details. We may receive limited transaction information needed for delivery and accounting (for example, purchase confirmation and invoice details).
3. Why we use your data and lawful bases
We process personal data for the following purposes:
Responding to enquiries and communicating with you. Lawful basis: legitimate interests (running the business) or steps prior to a contract.
Delivering agreed services (for example, consulting engagements). Lawful basis: performance of a contract.
Sending marketing emails (newsletter or updates). Lawful basis: consent. You can unsubscribe at any time.
Security and fraud prevention. Lawful basis: legitimate interests.
Legal and tax compliance. Lawful basis: legal obligation.
4. Who we share data with
Here is where your data goes. We share personal data with the service providers that run the website and the business:
Website hosting and analytics (Vercel). Vercel hosts this site and provides its visit analytics and performance measurement. These are cookieless: they set nothing on your device and do not identify you individually.
Bookings (Cal.com), which processes your name, email address and booking details when you schedule a call. Booked calls themselves run on Zoom, which processes your name, email address and the call itself.
Payments (Stripe). SolvStream does not store your payment card details. Card details are entered on Stripe's own pages, not on this site.
Newsletter (Beehiiv), which processes your email address when you subscribe to The Orchestrator.
Our free AI Workflow Map tool, which runs on its own subdomain, is hosted on Railway, and uses Anthropic to generate the report we email you. What you type into that tool is sent to Anthropic to produce the report. We recommend not entering sensitive personal data into it.
Behind the forms we also use an automation platform that receives your submission, a business records store where we keep the enquiry, an email delivery provider that sends you what you asked for, and an internal notification tool that tells us a submission has arrived. Our domain registration and business mailbox are provided by a separate hosting company.
Professional advisers (for example, our accountant), where necessary.
These providers act as processors or independent controllers depending on the service. We do not sell personal data, and we do not use it for advertising or profiling.
5. International transfers
Some providers may process data outside the EEA. Where this happens, we use appropriate safeguards required by GDPR, such as adequacy decisions or Standard Contractual Clauses, where applicable.
6. Data retention
We keep personal data only for as long as necessary for the purposes described:
Enquiries and general correspondence: up to 2 years from the last contact.
Marketing subscriptions: kept while you are subscribed. When you unsubscribe, we suppress your details and keep only a minimal record needed to honour your opt-out.
Lead-magnet sign-ups, for example the AI Workflow Map: reviewed after 12 to 24 months of inactivity and purged if there has been no engagement.
Project intake details and uploaded files: kept for the engagement plus 6 to 12 months, then deleted, unless you become an ongoing client.
Contractual and invoicing records: up to 6 years, as required by Spanish tax and accounting obligations.
Website analytics: held by our hosting provider as aggregated visit counts. There is no cookie identifier attached to it and we do not use it to identify individual visitors.
7. Your rights
Subject to conditions and exceptions under GDPR, you have rights including access, rectification, erasure, restriction, portability, and objection, and the right to withdraw consent at any time where processing is based on consent.
To exercise any of these, email connect@solvstream.io. We acknowledge requests promptly and complete them within one calendar month of receipt, extendable by up to two further months for complex requests, in which case we will let you know. Requests are handled free of charge in normal cases.
8. Complaints
If you have concerns, contact us first at connect@solvstream.io. You also have the right to lodge a complaint with your supervisory authority. In Spain, this is the AEPD.
9. Cookies and what this site stores on your device
This site sets no cookies. Not for analytics, not for advertising, not for anything else.
Our visit analytics and performance measurement are cookieless. They record that a page was viewed, along with technical data such as IP address and browser type, and they store nothing on your device and give you no identifier that follows you between visits.
Two things are kept in your browser's own local storage rather than in cookies. Your light or dark theme choice, saved only if you use the theme toggle. And, on our project intake page, whatever the Cal.com booking widget stores when it loads.
That Cal.com widget is the one third-party component embedded in a page on this site. It appears only on the project intake page, only once you reach the booking step, and it is provided by Cal.com under its own privacy policy. Everywhere else on the site, Cal.com and Stripe are ordinary links: nothing loads from them until you choose to click through.
We do not show a cookie banner. There are no optional cookies to consent to, and a banner asking permission for cookies that do not exist would tell you nothing true. If we later add anything that does set a cookie or track you, we will ask first and this section will change before it does.
You can clear local storage and block cookies through your browser settings at any time. The site works without either.
